Development Coordinator

The Scarborough Public Library is seeking a Development Coordinator to support the successful operation of the library by creating and implementing a comprehensive fundraising program. The position is a member of the senior administration team for the library and reports to the Library Director.
In partnership with the Library Director, Community Engagement Manager, and the Library Board of Trustees (Board), the Development Coordinator is responsible for the development and/or administration of fundraisers, planned giving initiatives, sponsorship solicitation, annual campaigns, and grant writing activities.
The Development Coordinator serves as staff to the Library Board's Development Committee (CRD) and recruits additional volunteers as necessary and appropriate.
AREAS OF RESPONSIBILITY
Overview of Duties
- Responsible for collaborating with the library board on the fund development program for the library: fundraising, planned giving and support of ongoing/future capital needs and goals, as determined.
- Spearheads the implementation of the Annual Fundraising program including the major donor program, broad based community support, special events, and special initiatives.
- Tracks and reports progress against goals, recommending changes to annual fundraising plans as needed, and reconciles with the bookkeeper.
- Grows and maintains donor relationships with director and board collaboration, which includes donor stewardship of local businesses, major private donors and broad-based community support.
- Fosters a culture of philanthropy within the library organization.
- Reports regularly to the Library Director and Library Board through the development (CRD) committee.
- Assist the Library Director and CRD committee in the development of fundraising strategies.
- Establish comprehensive short-term and long-range funding sources to meet funding goals.
- Develop a customized approach to encourage individuals, businesses, and foundations to donate to the annual campaign, give major gifts, and participate in special events and/or grants.
- Research public and private grant sources to identify sources of funding; initiate and collaborate with staff applying for grants.
- Organize individual donor campaigns.
- Build and maintain a donor database.
- Produce donor solicitation promotional materials to secure, retain, or upgrade gifts.
- Cultivate donors by producing specialized correspondence, preparing timely letters of acknowledgment, and scheduling and attending in-person visits.
- Evaluate and report all fundraising and grant activities to the Library Director and CRD Committee.
- Work in partnership with the Friends of the Scarborough Public Library and assist planning for Friends fundraising events.
- Participate in the development and implementation of the Librarys Strategic Plan.
- Other duties may be assigned.
Knowledge, Skills and Abilities
Knowledge of acceptable practices and standards of public relations, principles and practices of effective communication; grant writing and grant administration; donor development and fundraising; and of the laws and regulations that affect the work performed. Compatibility with an energetic, fun, and collaborative environment is a must.
Excellent skill in public relations and in maintaining effective working relationships; making public presentations; advanced skill in using Microsoft Outlook, Word, Excel, PowerPoint and donor management software (GiveButter a plus); analyzing and solving problems; written and oral communications; performing research; skill in fundraising databases preferred.
Ability to seek innovative methods of fundraising; prepare financial reports; identify and communicate problems, collect data, establish facts and draw valid conclusions. Knowledge of the Scarborough community and the librarys municipal relationship is a big plus.
Starting Salary: $60,000
40 Hours per week. Some evening and weekend hours apply, some hours may be worked remotely.
Education: B.A. or B.S.; knowledge and appreciation of public libraries a plus.
Salary: $60,000 Annually

Circulation Assistant

We are looking for a Circulation Assistant as a result of a pending retirement. The circulation assistant supports the day-to-day operation and security of the circulation desk. The assistant performs a variety of routine clerical and physical tasks such as circulating and processing and providing services to library patrons. Other duties include but are not limited to the following:
PRIMARY RESPONSIBILITIES:
- Greets patrons and answers directional questions
- Checks materials in and out using automated circulation system
- Processes interlibrary loan transactions and prepares these items for mail or courier
- Prioritizes the flow of materials for return to the shelves
- Answers the telephone in a friendly manner and redirects incoming phone calls as appropriate
- Responds to patrons and other staff in a friendly and positive manner
- Identifies materials in need of cleaning, repair, or withdrawal and transfers them to appropriate staff; routes them to the Circulation Librarian
- Issues library cards and provides orientation to new patrons
- Assists the public in resolving complaints about circulation problems, referring to other staff as needed
- Prepares overdue notices
- Interprets library policies to the public, referring to other staff as needed
- Provides direction to pages and volunteers in the absence of the Head of Circulation
- Collects money and processes credit card transactions
- Prepares daily cash for bookkeeper as directed
- Forwards patron requests for purchase of materials
- Assists the public in locating library material
- Assists the public in placing holds on requested items that are not immediately available
- Interprets information from the catalog and patron records to answer patron questions
- Assists the public in the use of the photocopier, refills paper and toner as needed
- Promotes appropriate behavior and conduct of those using the library
- Assists with opening and closing procedures throughout the library
- Maintains physical appearance of the library by picking up library materials left on counters, tables, etc.
- Performs other duties as assigned
ACCOUNTABILITY
The circulation assistant is supervised by the head of circulation. Direction may also be given by management staff, including the assistant director or the librarian-in-charge. The library director is responsible for hiring and firing. Performance reviews are conducted by the head of circulation.
QUALIFICATIONS
- High school diploma or equivalent with some additional training or relevant experience is required.
- The ability to work with a diverse public in a friendly, diplomatic manner is essential. Considerable experience in clerical work of a responsible nature is expected with accuracy and attention to detail is essential.
- Computer skills must include experience with Microsoft Office and experience with Microsoft Publisher and Excel is helpful.
- Focused attention to detail in a busy environment is essential, as is the ability to multi-task.
- Dexterity and good hand-eye coordination is necessary to perform the tasks associated with circulation activities. - - Previous clerical or library experience and knowledge of library organization is helpful.

WORK SCHEDULE:
The circulation assistant works a combination of weekdays, evening(s) and weekend hours as needed by the employer. Depending on the circulation assignment, 21-23 hours per week are required as needed by the employer. Flexibility in scheduling is desired as additional hours are occasionally requested to cover vacation or sick time.
WAGE AND BENEFITS:
Base rate is 17.79-19.00/hr. DQ&E - Prorated sick, vacation and health/dental insurance is available for this position.
