Meeting Minutes - Hybrid
September 18, 2025

Attendees: Kate Borduas (President), Jonathon Anderson, Kim Corthell, Ellen Detlefsen, Kathy Little, Peter Freilinger, Richard Schrader (Director, non-voting), Bryan Shumway, Catherine Morrison (Assistant Director, Non-voting), Kellie Fisher, Nancy Rea

The meeting was called to order at 4:35 PM by Kate Borduas
Consent Calendar: Motion to accept was made by Ellen Detlefsen, seconded by Bryan Shumway and carried unanimously.
Library Director’s Report: Chip Schrader. Included in consent calendar
Town Councilor’s Remarks: Jon Anderson
Jon has resigned as the Town’s representative. Will encourage replacement attend meetings more regularly.
Suggested SPL participate in workshop on the Town’s growth with stats on how growth has impacted SPL.
Trustees should consider joining Town Committees .
Opportunity to host forum to discuss library uses and its impact on schools.
President’s Remarks: Kate Borduas
Carol Sulides-Yerxa this month’s FOSL liaison.
Trustee retreat in June for 2026.
Several library webinars available for building support for your library.
Nominating committee will forward name for new trustee by end of year.
Kate and Chip with will set up workshop with the Town keeping SPL in the forefront within the community.
Messaging team focus group to include Trustees, FOSL and the community.
Special Presentation: Tom Corbett
No longer pursuing the Microsoft Teams approach.
Based on needs of trustees, will give trustees full access to the Microsoft 365 tools to have file sharing and a shared calendar our two highest priorities. Download office 365.
Quick demonstration will be provided in an upcoming board meeting.
New Business:
Welcome Kirsten Gilg as librarie’s new Development Coordinator
Three grants already submitted.
Elsa and Kirsten have initiated two “General Asks” campaigns including a raffle and mini campaign around Banned Books. Identify monetary goals for eBooks. SPL will be represented at the Town’s Sustainability day with raffle to raise money for Charlie Cart, which is approximately 20K.
Annual Campaign commences mid-November. Better utilization of data we already possess and keep faces in the community.
Motion to accept the Bellemere bequest to the Scarborough Public Library and authorize the transfer of funds to the existing endowment fund that aligns with the donor’s intent and the organization’s mission.
Motion to accept was made by Bryan Shumway, seconded by Kim Corthell and carried unanimously.
Continuing Business:
Facilities Committee Progress – Bryan Shumway
Continue to follow SPG action items
Blended focus with consideration given to current building and future construction.
Financial Committee
Annual Campaign’s fiscal year goal is 100K.
Continue to work with current donor’s list utilizing Patron Point and Give Butter programs.
CRD Public Relations: Kate
Following SPG 3.2 to guide us in making future decisions.
Barb Kapp has graciously accepted to become a member of the Advisory Committee.
SPG Committee: Kim
Kim brought forth three motions to the board for review and acceptance.
Motion to accept the revised action plan with additions as discussed at August 21st retreat
Motion to accept made by Ellen Detlefsen, seconded by Bryan Shumway and carried unanimously.
Motion to accept revised policy for Library Operations in a Declared Local Emergency.
Motion to accept by Ellen Detlefsen, Seconded by Bryan Shumway and carried unanimously.
Motion to accept the revised policy pertaining to the Use of Community Information Area.
Motion to accept by Kathy Little, seconded by Ellen Detlefsen, with one trustee opposed.
Miscellaneous:
FOSL
Thanks the board for their contributions of the solar panels and fan for the new building (shed/Annex).
Emerson Lecture Series is October 7that 6:30pm
